Scope Of Work

Pre-Opening Phase

Software • Deploy property management platform (Property Cube) and financial management platform (IMT).
• Upload and maintain project data in the platform.
• Customise workflows, forms and templates within the platform to suit project-specific requirements.
Human Resources • Recruit the Property Management team in line with the project timeline.
• Conduct staff learning and advancement programs.
• Develop and standardise the Operations Manual.
Finance • Review and prepare the pre-opening budget.
• Procure capital assets (CAPEX) and establish accounting procedures, templates and reporting formats in the platforms.
• Prepare the operating budget and allocate revenue and expenditure to the appropriate funds.
Technical • Inspect, commission, receive handover of, and review all building systems.
• Participate in training conducted by installation contractors.
• Develop the preventive maintenance plan and upload it in the platform.
Contractors • Define tender evaluation criteria in the platform.
• Manage the tender process, select contractors, and support the Developer during contract negotiations.​
• Establish contractor performance monitoring templates in the platform.
Documentation • Review the Tenant Handbook and Fit-out Guide, propose appropriate operational procedures.
• Upload and maintain legal documents, certificates and compliance records in the platform.
• Complete the setup of functional areas and develop the operational plan for parking management.
Tenants • Coordinate with the Developer on tenant premises handover.
• Manage tenants' fit-out works and interior completion via the platform.

Operational Phase

Facilities • Manage common property assets via the platform.
• Monitor the proper use of common areas and shared facilities in accordance with building regulations.
• Conduct regular inspections and performance assessments to maintain operational standards via the platform.
Tenants / Customers • Deliver customer service, respond to enquiries and feedback, and provide essential information.
• Manage compliance with the Building Rules, coordinate the handover and reinstatement of leased premises, and control access to the building via the platform.
• Organise activities and events to enhance the workplace experience and foster community engagement.
Finance • Collect management fees and other applicable charges and process payments to contractors and service providers.
• Procure goods and services while monitoring expenditure against the approved budget via the platform.
• Fulfil tax obligations and prepare and publish financial reports.
Technical • Operate and maintain all building engineering systems and equipment.
• Supervise maintenance and repair works to ensure compliance with relevant standards and procedures.
• Record tenants' electricity and water consumption readings via the platform.
Contractors • Manage and monitor the performance of subcontractors.
• Inspect, evaluate and certify the quality of services, goods and equipment in the platform.
• Manage contractor agreements through the platform.
HSE and Risk Management • Develop and implement procedures to proactively identify risks, prevent and respond to incidents, and coordinate with relevant authorities.
• Monitor compliance with Health, Safety and Environment (HSE) requirements.
• Track and manage the validity of licenses, certificates and statutory project documentation via the platform.
Reporting • Prepare financial reports, including income and expenditure statements and accounts receivable/payable reports.
• Prepare periodic operational reports and submit repair and refurbishment recommendations to the Developer.
• Issue and archive building notices through the platform.
• Track building occupancy rates.​
