Receptionist (Project)

Job Title: Receptionist/ Customer Service Officer
Department: Property Management
Reports to: CS Manager and/ or Property Manager

 

JOB SCOPE – Be responsible to welcome and guide residents and visitors of the Building, receive newsletters and information related to the operation of high-rise building/low-rise building/villa regions, and transfer information timely to the specified address.

 

Responsibilities

  • Answer and join the telephone calls following to the company’s policies and processes
  • Adequately update information about the building in order to provide information exactly and quickly to customers when they require
  • Answer within the phone ringing 3 times with polite and elegant intonation
  • Handle the emergency situations in a calm, effectiveness following to the company’s provisions and directions
  • Ensure to take notes and adequately keep all details in the track book to hand-over between shifts
  • Capture adequately treatment processes in emergency situations and the list of phone number to emergency contact
  • Maintain the relationships and well coordinate with other departments
  • Answer queries and resolve all of delivery requirements, complaints, information requirements, and transfer the messages of tenants and guest to the building in polite and effective manner
  • Provide information to relevant departments and office management about complaints, requirements and tenants’ demands, and monitor them to ensure that these requirements will be completely resolved
  • Ensure that all equipment and/or decorations and interior equipment inside or just outside the building and the reception area are always in a neat, tidy condition. Coordinating with the Management Office and other departments to ensure that the repair and cleaning works always are implemented timely
  • Restrict tenants waiting in the reception lobby to ensure that drivers, shop-assistants, delivery personnel and tenant’s friends in the building are not allowed to stay long in this area
  • Help the CS Manager/ Property Manager to update the tenants list, including visitors and company’s members
  • Assist the CS Manager/ Property Manager to resolve problems arising in Reception Area
  • Implement necessary works to ensure the effectiveness of the building’s operation
 

REQUIREMENT:

  • Bachelor degree
  • Good appearance, professional and tidy
  • Good communication skill (both English and Vietnamese), especially in oral communication
  • Experience in related field would be an advantage
  • Driven, competence, flexibility and a willingness to learn
  • Good teamwork
