PM Assistant (Project)

Job Title: PM Assistant
Department: Property Management
Reports functionally to: Property Manager

 

JOB SCOPE – to advise and assist the Property Manager in all aspects of the daily operation of the Building and will act on behalf of the Property Manager when he absence. The aspects of the building daily operation are listed by priority order as bellow:

  • Tenant Relations
  • Administration
  • Human Resources and Training
  • Accounting
  • Housekeeping
  • Security
  • Engineering and Maintenance
 

SPECIFIC DUTIES:

  • Implement as instructed on daily basis by the Property Manager
  • Arrange meetings/ appointments for the Property Manager and attend those meetings for taking minutes as requires
  • Assist in set-up and implementation of operational procedures and performance standards
  • Draft all internal and external correspondences both in Vietnamese and English and/or review and initial before presenting these to the Property Manager for approval
  • Record fully and tidy all documentaries issued by Property Management (handover minutes, tenant manual, renovation guidance, work schedule, work shift…)
  • Gather all reports from divisions and prepared a summary report on weekly and monthly basis and submit to the Property Manager for approval before providing to BoD of the Building/ Project
  • On behalf of the Property Manager, announce promptly to all staff all approved document regarding building operation, human resource, labour and working policy and benefit etc
  • On behalf of the Property Manager, assign effetely work for all staff and supervise their job
  • Act on behalf of the Property Manager when he/she is absent to ensure the Property operating smoothly all the time
  • Work with the suppliers, constructors and involve the negotiation process and contract
  • Implement all secretary works such as receive, reply, file and note all email, telephone message, fax, document, letter.. both incoming and outgoing
  • Liaise on behalf of the management with tenants and respond to their individual needs
  • Oversees the daily organization of all operational activities for the property and reports immediately to the Property Manager any situation or incident that may have a detrimental impact on the property
 

REQUIREMENT:

  • Bachelor’s degree in Hospitality, Hotel management, Commercial or equivalent
  • At least 1 years working in the similar position
  • Proficient in English
  • Good computer skills (Outlook, Word, Excel & Power point) and the use of the Internet
  • Professional, tidy and smart dress code
  • Excellent customer service skill
  • Excellent communication skill
  • Be enthusiastic, creative and optimistic; Thoroughness and attention to detail
  • Problem solving – ability to identify problems and quickly solving
