Job Title: IRS Customer Service Executive
Department: International Residential Sales
Reports Functionally To: Head of International Sales
Location: Ha Noi/ Da Nang/ Ho Chi Minh

 

POSITION OVERVIEW – To support Head of Residential Sales by administering the sales information system and provide all other administration services for the international residential sales department. Support sales agents to provide after sales services for clients.

 

RESPONSIBILITIES:

  • Record/input sales releases, reservations, mastermoves, cancellations, exchanges, handovers and legal completions onto the sales information system, along with full customer details/choices and produce/post relevant letters and statements and update office (wall) charts as appropriate. Ensure the sales extraction sheets are completed and kept up to date on a weekly basis. Previous experience with CRM software is preferred
  • Produce and maintain plot files, distribute copies to other departments and contractors
  • Produce/amend standard forms for use on site and in the office to assist the sales team. Ensure that all documentation in office and copy of the site journal is up to date. Keep stock and order materials and stationery used by all the sales team, and order uniforms/badges for sales consultants
  • Take telephone enquiries from prospective customers regarding both forthcoming and existing sites, creating a database for future use with mailshots; produce mailshots as requested. Input customer enquiries into the marketing system and produce mail shots as required
  • Liaise with sales consultants and ensure they receive relevant copies of letters, price lists, memo’s, reports and standard forms by fax or post regularly
  • Support sales agents on updating stock list
  • Support Sales with after sales services, follow up with client’s payment, construction status, debit note, announcement from developer...
  • Follow upon fee billing with corporate oversea offices
  • Other duties as assigned from time to time
 

REQUIREMENTS:

Education

  • Business management
  • Candidates with international experience preferred

Communication skills

  • Strong interpersonal and communication skills for liaising with colleagues, customers and other stakeholders;

PC skills

  • The ability to work with IT resources such as databases and spreadsheets, for the collection and management of information

Experience

  • At least 3 years experience in administrative or sales role

Language

  • Fluency in English is a must (both speaking and writing). Proficiency in second foreign language is an advantage : Chinese, Korean, Japanese
