Assistant Property Manager (Luxury Services Apartment)

Reports functionally to: Property Manager
Reports administrative to: Property Manager/ Associate Director, PM

 

JOB SCOPE – to advise and assist the Property Manager in all aspects of the daily operation of the Building and will act on behalf of the Property Manager when he absence. The aspects of the building daily operation are listed by priority order as bellow:

  • Tenant Relations
  • Administration
  • Human Resources and Training
  • Accounting
  • Housekeeping
  • Security
  • Engineering and Maintenance
  • Public Relations
 

SPECIFIC DUTIES: includes but not limited to

1. Ensuring all goals of the Property can be met
2. Assist in set-up and implementation of operational procedures and performance standards
3. Have good knowledge and understanding of Vietnamese’s labor law
4. Maintain a professional knowledge of multiple tasks and apply them with great flexibility and efficiency
5. Liaise on behalf of the management with tenants and respond to their individual needs
6. Oversees the daily organization of all operational activities for the property
7. Troubleshoots daily operational and administrative problems and issues
8. Reports immediately to the Property Manager any situation or incident that may have a detrimental impact on the property’s image or reputation
9. Co-ordinate efforts of all departments and work as intermediary on behalf of the management to settle any problems and/or disputes
10. Act as or on behalf of the Property Manager in his/her absence
11. Write all internal and external correspondences both in Vietnamese and English and/or review and initial all Sales and Marketing documents before presenting these to the Property Manager
12. Contact suppliers and/or contractors on behalf of the Property Manager, also in coordination with the Accounts Assistant, as and when appropriate
13. Ensure all information - both internally and externally - in regard to the property, its tenants, visitors, staff, competitors etc., is communicated to the Property Manager in a clear, timely and sufficiently detailed fashion
14. Ensure the smooth operation of the property on a daily basis
15. Oversee and arrange preparation of accurate daily, weekly and monthly reports in coordination with relevant department heads, ensuring that these are delivered to the Property Manager in agreed detail and format and within agreed deadlines
16. Work in close coordination with the Property Manager to creatively develop and improve the Property’s public profile within the market
17. Ensure sufficient prior communication, follow up and reporting to the Property Manger in regard to issuance of offers etc. to existing tenants in regard to any lease renewals, lease restructuring or terminations
18. Willingly and ably assist and advise the Property Manager in regards to any other reasonable requests, as required

SKILLS AND EXPERIENCE EXPECTATIONS

  • Bachelor’s degree in Hospitality, Hotel management, Commercial or equivalent
  • At least 1 years working in the similar position
  • Proficient in English
  • Good computer skills (Outlook, Word, Excel & Power point) and the use of the Internet
